How do I juggle a demanding but exciting 9-5 as a Project Manager and my business?

This is a question I get asked a lot.

The answer?

Asana

I use Asana to stay organised and productive.

I have 3 - 4 hours each day to work in my business and delivering a great service to my clients is a MUST so I have to make those hours count!

Every Sunday, I go over what tasks or client work I have coming up in the next week

I then add them all to my Asana and make sure I include due dates.

When I assign due dates, I make sure I’m realistic about what I can actually accomplish. Client work and delivery will always come first so I prioritise those.

Every morning, I then look in the ‘My tasks’ tab in Asana. ‘My Tasks’ tab is my personal to-do list. It consolidates my tasks across all projects into one view so I know exactly what to work on each day and in order of priority.

It is also really handy that all communications with my clients on their projects happen in Asana. This is where the ‘Inbox’ in Asana comes in handy. ‘Inbox’ streamlines and consolidates all conversations and updates across any tasks or projects that I collaborate on - so both internal projects and client projects in their own Asana.

This reduces the need for emails which saves me time because i don’t have to check emails throughout the day.

Another Asana feature that helps me stay productive is the ‘Home’ tab which is like my personal dashboard.

It is customisable and I can easily combine key actions in a single view, so when i have a quick 10 minutes, I can easily assign tasks, view recent or favourite projects, collaborate with team members, and take quick notes all from one place.

Here are the features every day to boost productivity

1️⃣ The ‘Home’ tab is like my personal dashboard. It is customisable and I can easily combine key actions in a single view - assign tasks, view recent or favourite projects, collaborate with team members, and take quick notes. I can also easily view my priorities including upcoming, overdue and completed tasks.

2️⃣ ‘My Tasks’ tab is my personal to-do list. It consolidates my tasks across all projects into one view so I know exactly what to work on each day and in order of priority.

Creating a plan or schedule is more than just addi

Creating a plan or schedule is more than just adding tasks, assignees and due dates to a project management tool.

Here are some things to consider when creating a launch project plan

1. Think about other projects and activities happening concurrently to ensure you and your team have the bandwidth to do it all comfortably.

2. Create a framework or guidelines for managing your launches upfront.
Without the framework, the schedule or plan is compromised before you begin to execute the launch. Your processes for tackling certain things you’ll come up against during the launch need to be defined otherwise when you run into challenges, there will be significant delays to the launch because you are trying to figure out a solution while in execution mode.

3. Think of all the things that could mess things up or cause delays and add some buffer into your schedule.

4. Consider the availability, expertise and current workload of team members before allocating tasks
We don’t want team members overloaded and potentially burning out. We also want to make sure we have the best person for each task to reduce having to course-correct and redo work that falls short of set standards.

5. Regularly maintain and update your plan to ensure you stay on track
Creating a plan is never a one-time thing. You’ve got to maintain and update it regularly to make sure that everything remains on track.

Life happens so when creating a plan or schedule in Asana, it is important to always create a buffer, especially for critical tasks.

Critical tasks are those tasks that are crucial to your timeline. And so, if delayed could derail your plan and impact the delivery of your project or launch.

Having a buffer means that when life happens and certain tasks become overdue, you still have enough of a buffer to complete them and deliver to agreed timelines.

So rather than stress, just change the due date and move on.
